Document Management may not be a word that itself would be too famous but the role and impact it has on the processes in various multinational organizations cannot be described in words. With companies having to keep records for years so that they are not left in the lurch just because of a document, document management plays a significant part in helping ease this process and answer the various questions that accompany it. As organizations grow, so do their demands and the various kinds of tasks that need to be taken care of by a document management system. One such process that has become vital to all of the top notch companies throughout the world today is the ISO 9001 2008 and when it has to be implemented in organizations that employ thousands of people, the synchronization part becomes quite vital.

ISO 9001 2008 as is known is one of the key quality management processes that is now being used by the companies world over to ascertain that they adhere to only the best standards in the business. Now when such a process has to be integrated over in a company where these things have not been present until now, they need to be synced with the working population of the company and that is where document management plays an important role.

Control of Documentation 

One of they key features of the ISO 9001 2008 standards is the Control of Documentation (Section 4.2.3) wherein there are certain set requirements that need to be met during the life cycle of the documentation and also while controlling them. Some of these may seem to be quite simple in essence when thought of but do the math in context of the companies that are spread through continents and have numerous employees and the enormity would become evident. Document Management systems can help solve this ISO 9001 2008 crisis for the companies though it is not a cakewalk for them either.

Some of the key requirements of the ISO 9001 2008 standards pertaining to the Control of Documentation section are basic processes. Like the requirement for the documents to be reviewed on a periodic basis. Reviewing may also include the re-approval of select documents or the updation of some based on the changes that have been made since the last time the same exercise was done by the concerned department. Another important aspect is to maintain the usability of the documents. Quite often it is noted that a lot of documents that should have been in perfect state are not really found to be so and that is where document management systems can take care that these things are maintained according to the requirements.

Co-existence

There is no doubt about the fact that companies today all strive to fulfill and achieve the certification of the ISO 9001 2008 and with the document aspect playing a crucial role in the same, document management and ISO 9001 2008 seem to have become intertwined and at the same time important for any one aspiring to be a leader in its segment. Document management in itself is critical in a lot of industries but when combined with the requirements of the ISO 9001 2008 standards, things take a whole new turn.
