With the role that computers have come to play in our lives today, we seem to have forgotten that there was once an era when things were not as simple and clicking was as yet a foreign concept. Now, we create and store documents without giving them or the question about how exactly they are managed a second thought. Wherever public dealing and transactions are involved, creation and storage of documents is one of the most regular and important aspects. Here, not only the storage but the maintenance of these documents over longer periods of time is also necessary. It is in these circumstances that document management and document management systems come into the picture. With the mind boggling level at which things have been computerized in today’s world, the importance of these document management systems cannot be stated enough. The beginning of the document management theory was a humble one with some vendors getting on into the field in the 1980’s to manage the documents that were as of then mainly paper based. This not only included the documents but also prints or photos or both in some cases. Things as of then were manageable with the kind of the document management systems they had in place. Later on these went on to include the electronic documents as they came into being and also when they started playing a more important role in the organizations all over the world. As can be expected, initially these document management systems were limited and the functions that they could handle and do for the varied documents they held in their repository were also limited. The types of files and the file formats that could be handled by these systems which had been named Electronic Management System by now were also limited to the types available and that which could be handled by the then available technologies. There are a lot of things that matter when you are considering or working with a document management system. The first and foremost of these is the location of the documents. A lot of questions arise when you talk of location. Some of these are quite the basic ones like what would the location be and how would and what people would be getting access to the docs and how would that happen. Another important aspect is the filing and retrieval aspect of the document management systems. Documents need to be filed and there are other things that need to be kept in mind like the how and where of the processes and also which methods would be applied to take care of the same. Some of the other important things that need to kept in mind for the document management systems are recovery, traceability and archiving among others. Nowadays document management systems have come to play a much more important role with most of the multinationals storing their documents for further instances and also with the document management systems encompassing a lot more things other than simply the storage of documents.
