Electronic Document Management If someone were to ask you to take a guess on the number of documents that are produced in the electronic form throughout the world per day, chances are, you would be lost. This is simply because we cannot put a figure to the mind boggling number that would be the answer to the question. Now, realizing this, the real question that arises is: how is all this managed? There has to be a system in place to take care and manage this great repository of documents that are created on a daily basis. There is in fact, known as document management or more specifically, electronic document management.

An electronic document management system is primarily used for the storage and retrieval of the vast number of documents that may be created. These documents may vary from being transaction records to the general purpose ones created on an ad hoc basis, whatever be the type, an electronic document management system takes care of all of them. The fact that more documents, be it paper based or electronic have been created in the past few decades as compared to the past few centuries only demonstrates the need of the same further.

The Need for Electronic Document Management?

This should be a no brainer considering the business needs of today’s world. With instant access to anything and everything having become a basic necessity, waiting to retrieve a file is a thing of past or so it should be. Documents need to be available instantaneously and this is something where electronic document management plays a vital role. Taking the example of the stock market industry, the brokers and analysts need data that may be years old and the proverb ‘time is money’ cannot be truer anywhere else in the world. The importance of the electronic document management is easily understood in this case.

Although initially the electronic document management systems had the primary task of storing and retrieving the documents as the main one but now with the organizations expanding and increasing their domains and workforces, these have come to play other roles as well. The roles include things like the reviewing, editing, updating and timely management of the documents. The fact that documents play a vital role in taking care of the businesses in any field has led to the areas in which the electronic document management systems work, to expand too.

With so many documents in the foray, the manual aspect of taking care of them is out of the question. And the fact that a lot of the quality management systems and processes require you to take due care of your documents and maintain their lifecycle with diligence only adds to why a company can not work without having a sound electronic document management system in its kitty in today’s world. Though initially limited to the multinationals and bigger organizations, smaller firms too are realizing that they too would only get better if they incorporate electronic document management systems into their lifecycle.
